Invitation to host the AIE World Conference

An invitation is here extended to schools or other educational institutions to collaborate with the AIE in hosting future World Conferences (2021) and thereafter following the successful meeting generously hosted by the International School of Geneva in October 2019.

Since its creation, the AIE has held ten World Conferences at two-year intervals, usually (though not necessarily always) in October. Most of the conferences have been hosted by international schools (see details elsewhere on this AIE website).

The arrangements for collaboration in staging a conference are, broadly, that the AIE is responsible for the design of the conference programme in all its aspects, whilst the host institution accommodates the conference on its campus and provides essential services (including technical, administrative and practical support). The costs of the conference are met through the conference fee (set by the AIE) together with sponsorship from a range of individuals and organisations. The host school/institution would be expected to assist the AIE in identifying appropriate sponsorship sources and in publicising the event locally and regionally to encourage strong attendance. The delivery of the conference in situ would take place through a partnership between nominated representatives from the host institution working together with specific AIE trustees responsible for different elements of the programme, under the overall direction of the AIE Conference Management Team. Full details will be explored with the selected host institution.

Schools/other institutions should signal their interest in hosting an AIE conference by writing to the AIE Chair, Professor Jeff Thompson (J.J.Thompson@bath.ac.uk) indicating their willingness and capacity to satisfy the following criteria, and giving a brief indication, with outline evidence, of how each of the criteria will be met.

  • The institution will be willing to provide the use of campus facilities, free of charge, for a three day period (usually Friday to Sunday inclusive).
  • Campus facilities available include an auditorium capable of holding up to 200 participants, together with 10 break-out rooms close by, each capable of holding up to 20 participants.
  • Refreshment facilities available (morning/ afternoon tea/coffee, and lunches)
  • The institution will be willing and able to engage with the AIE in identifying sources of sponsorship for the conference.
  • The institution will  commit to promoting the conference at local, regional and national levels though its system of contacts and networks, in order to help encourage strong attendance at the conference.
  • The institution will be confident that participants may be accommodated in hotels of a suitable standard and proximity to the conference site, at the participants’ personal arrangement and cost.
  • The institution will identify a senior member of staff to lead conference organisation from the school/institution side.
  • Indication of past attendances at AIE World Conferences, and of interest and support for AIE activities, by the host institution should be included.
  • Offers to host an AIE conference should include confirmation that the offer is supported at the highest level in the school/other institution.

 All expressions of interest should be received by 16 December 2019. The AIE Board of Trustees will be meeting in January 2020, after which all those expressing interest and submitting proposals will be contacted.
